Start with a phased duties checklist that moves from the first forty eight hours through the middle work and on to final distribution, written in plain language instead of legal jargon. Build a complete estate picture as you go:
Estate inventory. Record every asset and every debt with its value, and flag whether it is likely probate or non probate, so the estate total is always in front of you.
Expense and mileage ledger. Log the costs you cover as executor, attach a receipt photo, add mileage, and watch a running reimbursement total so you are paid back correctly.
Institution notifications. Track who you have told, the date, the confirmation number, and the follow up that is due, so nothing slips between the bank, the pension, and the insurer.
